Food and Beverage Minimums
We have a have a food and beverage minimum that ranges from $3,000 - $5,000 depending on day of week and season, that can be used toward non-alcoholic beverages, meal, appetizers and late night pizzas/snacks. We can be flexible with this as well and would love to stay within your budget. The minimum does not include tax, service charges, gratuity or rental items. If you fail to satisfy the designated minimum per the agreement, you will be responsible for the difference between the food and beverage minimum and your total food and beverage.
Rental Fees
The Woods Event Center rental fee ranges from $1,250 - $2,500 and rental for the outdoor ceremony site ranges from $500- $1,000. Rental includes, set up, tear down, servers, bartender, linens, dance floor, microphone and speaker system. (Peak Season) Price depends on day of the week and if it is peak season or off peak season. (November – April) Access to the center is will be discussed with your coordinator.
Deposits and Payment
To reserve your space, a deposit of $500 is required at the time of signing the contract. A payment plan will be established with the remaining amount due 10 days prior to the event. A banquet event order will be sent at 10 days out and if this exceeds the deposit and payments, the balance will need to be paid before the event. Any additional charges during the event will be processed on the mandatory credit card on file immediately following the event.
Menu Selections and Regulations
You may select one of our options from our catering menu. To assure that every detail is fulfilled in a professional manner we require menu choices and specific requests to be complete 10 days prior to your event. You will receive a copy of the order on which you will make any modifications and sign and return no later than 10 days before the event date. In compliance with the Minnesota Department of Health regulations, liquor ordinances, liability insurance, all food and beverages must be purchased through The Woods. It is prohibited to bring in, food or beverages. Also, the food and beverages not consumed is prohibited from leaving the event location. (Exception-Wedding Cake).
Guarantees
It shall be the guest responsibility to notify The Woods of changes in the number of attendees in respect to any function. Changes will be accepted up to 10 business days prior to the event. The guaranteed counts must include children, vegetarian, and other special dietary needs.
Guest Room Reservations
You may hold the hotel, A-frame, and Guest House under your wedding block up to 30 days out. It is your responsibility to communicate the rates and any minimum stay requirements to your guests. Check-in time is 3:00 pm with an 11:00 am check-out upon departure.
Event Planning Appointments / Entrée Tastings
Requests for site tours and event planning appointments should be scheduled through The Woods Event Coordinator. The bride and groom will receive a complimentary food tasting, while additional guests will be charged $25/additional person. Tastings will be done two times a year and food selection for the tasting must be made 10 days in advance.
Outside Vendors
Please refer to the Woods preferred vendor list. All other vendors must contact The Woods with details of their arrival time. This is the responsibility of the vendor and should be done at least 1 week prior to the date.
Disclosure
The Woods is not responsible for any items left overnight, or for lost or stolen items. All decorations are the responsibility of the wedding party.
Service Charge and Taxes
An 18% service charge and current Minnesota sales tax will be applied to all food, beverage and special services. The 18% is charged on the food and beverages served at the reception, not on the open bar portion, not on the event center rental. The service fee covers things like cleaning the plates, silverware, and glasses, various sundries, the services we provide to you that day, it also covers maintenance and operating costs of the facility.
Gratuity
18% Gratuity is included in the final pricing to reward excellent service.
What You Should Expect from Our Event Coordinator
To answer questions pertaining to any on site events, provide suggestions, and act as your primary contact throughout the planning process.
To conduct site visits with you.
To create a cost estimate of charges and your payment schedule.
To assist in the coordination of guest rooms and reservations.
To oversee the set up of the contracted banquet space for rehearsal, the ceremony, and the reception.
To assist in making arrangements for day before special events (i.e. golf, spa, fishing, etc.)
Answer any questions and help with guidance while visiting The Woods.
Other Services
You may be treated to an array of fun the day before. A shuttle ride to an arranged Spa day, a pontoon ride on one of the many beautiful lakes in the area, a round of golf or any activity your group may desire. You request it and The Woods will arrange and deliver!
The Woods Restaurant/Bar
The open concept with unique woods décor creates the perfect atmosphere for any occasion. We provide a delicious menu, expanded bar choices, happy hour and daily specials. After wedding rehearsal you can enjoy the bar, restaurant and patio! Dine at The Woods restaurant or gather privately on our magnificent outdoor patio featuring three fire places and game area. Our event coordinator can help you arrange a rehearsal dinner or fun and games as well!
Hotel & Junior Suite
We have a quaint hotel located right on the premises. It features 12 remodeled hotel rooms with an up north, woodsy feel that are perfect for a quiet, convenient stay. The Junior Suite, connecting with the hotel is a two bedroom suite with kitchenette, fireplace, living room and jacuzzi.
A-Frame & Rental House
The A-Frame cozy cabin has a bedroom on the main level and loft with 2 double beds. It is a great place for the groomsmen to sleep the weekend of the wedding! The Guest House is a beautiful 4 bedroom, 4 bath home with gourmet chef 's kitchen, fireplaces, secluded in the woods. Perfect for a Bridal party or family & friends!
